Hiring Process

Why the Philippines and not locally?

The Philippines is one of the top outsourcing destinations in the world. From BPO companies to working from home, many Filipino professionals have experience working for offshore clients. Chances are, your VA has worked with overseas clients before and provided similar services that you’re looking for. In addition, Filipinos are known to be as hardworking, loyal, and always have a positive disposition in life. With higher education set as a priority in the Philippines, the literacy rate in the country is 94%, making them the fourth largest English-speaking country in the world.

How quickly can I get my new Apex Virtual Assistant?

Once the paperwork and client questionnaire is completed, we aim to have a fully trained virtual assistant in your business within 5-7 days. This mainly depends on the complexity of your needs and requirements.

Can I hire more than one virtual assistant for two different lines of my business?

Of course, you can hire more than 1 Apex VA for your business depending on the skill set that you require and for what areas of business they will be specifically assigned. Some of our clients hire 2-4 virtual assistants for different areas of their business.

Will I be able to choose a Virtual Assistant I would like to hire?

Once you are done with the Discovery Call with one of our Client Support teams and have the task requirements & work instructions list ready, our team will now start sourcing the VA that perfectly matches your skill requirements. The resume of these endorsed VAs will then be forwarded to your email for advance review prior to your scheduled interview with the endorsed candidates. You get a chance to review their professional experience, work accomplishments, and their DISC assessment result before conducting a zoom interview facilitated by your designated Client Service Manager.

After interviewing and choosing the Virtual Assistant that I want to work with, what's next?

Once you have made up your mind and finally decided who your hired Apex VA will be, we then send you an invoice for your chosen plan via email that you can pay with your Paypal account or credit card. A payment confirmation receipt will be sent via email and then we will start working on creating the work credentials for your hired VA such as a zoom account, email account and time tracking software that will be sent to your email too. We will then call you for a quick Client Onboarding before the initial VA handoff to ensure a smooth working relationship with your hired Apex VA.

What if my Virtual Assistant isn’t the right fit?

Although this doesn’t happen at the moment, When this happens within a span of seven days from the date you hired them, no problem, just reach out to your Client Service Manager to discuss the situation. After learning more about your business requirements, our team will then start finding your perfect pair with ease at the quickest time possible, FREE of Charge!

What if I want to terminate the Virtual Assistant?

All Apex Virtual Assistants are on a probationary period within the first 3 months of work, during which time you are able to terminate them by providing 24 hours notice. After three months, 14 days notice is required to terminate with a written reason for the grounds for termination.

Do you provide Part Time VAs?

We do provide part-time VAs on a temporary basis but many candidates are more interested in full-time and long-term positions. You may initially start part-time with them but should move your VA to a full-time position after 30 days in the future and this must be specified in your job description questionnaire.

What happens if I don't like the final candidates that we selected for me?

This doesn’t happen yet, but if in case it does we will, as part of our 10-day guarantee present you with another three candidates free of charge. Following this, if you still cannot decide on hiring a an Apex VA from the second batch of candidates and want us to look for you, you will need to sign up for our service again.

What are the usual working hours I need to give my Apex VA?

Most of our Apex VAs prefer to work during normal office hours in the US which are between 8am to 6pm.

Do we have a contract or agreement we can hold as an assurance?

Yes. We will provide you with a few documents for you to sign. On the other hand, your Apex Virtual Assistant will sign the Independent Contractor Agreement with us so they will be aware of the scope of their roles and responsibilities, liabilities, and confidentiality policies.

Billing Information

What currency will I be billed for?

All companies located in the United States, are billed in US Dollars (USD).

How does invoicing works?

Your first invoice is for the remaining work days for that month. This must be paid prior to your staff’s start date. On the 1st of each month, you will receive an invoice 2 weeks in advance with adjustments for actual hours worked during those days. As you can appreciate, it is very important that all contractors are paid on time and with no delays.

What payment types do you accept?

What if the employee is sick or wants to take holiday, will I still need to pay them?

You are only required to pay for hours worked, as there is no obligation to pay sick days or holidays. However, if you would like to provide compensation to your Apex Virtual assistant for time off, you are welcome to do so as long as prior notification to your Client Service Manager will be made vie email or zoom call.

What about Public Holidays?

As we encourage work-life balance, APEX Assistants observe major World and US Holidays. Your virtual assistant will be spending quality time with family and friends on these occasions during the year:

  • May 30- Memorial Day
  • July 4- Independence Day
  • January 1- New Year’s Day
  • November 24- Thanksgiving
  • November 25- the day after Thanksgiving
  • December 24- Christmas Eve
  • December 25- Christmas Day
  • December 31- New Year’s Eve
What about Overtime?

Apex Virtual Assistants are required to seek client approval for any paid overtime. You may coordinate with your designated Client Services Manager in case your overtime will be required for your VA.

Miscellaneous

What are your APEX VAs home setup requirements?
All of our Apex VAs are required to have:

  1. A quality headset with its own microphone
  2. Fast and reliable wired DSL internet connection not slower than 5Mbps.
  3. A quiet and private home office free from distractions.
  4. A computer (desktop or laptop) with at least 4GB RAM and can run Win7 or later (or its macOS equivalent).
  5. A webcam
Do you use a time-tracker?

Yes, we do. We use one for performance monitoring and payroll purposes as well as billing clients.

Do you deduct taxes or any government fees from my salary?

No. The Apex VA is responsible for settling its own government payments (e.g. BIR, PhilHealth, SSS, Pag-IBIG).
